A good event feels simple because the work behind it is not.

Guests see the room, the program, and the parts of the event that happen when they should. What they do not see are the decisions behind them: when vendors arrive, how guests move through the space, what happens next in the program, and who needs to be ready when something changes.

We bring the venue, vendors, timing, and program into one working plan, then coordinate those pieces through the event so the host does not have to manage every handoff.

Purpose and framework

We start with what the event is for, who will be there, and what matters most. That gives us a clear planning and budget framework for the decisions ahead.

Venue, vendors, and decision calendar

We coordinate the venue and vendors and map out the decisions that need to happen along the way. Making those decisions at the right time keeps the planning moving and avoids unnecessary last-minute pressure.

Program and run of show

We build the program, floor plan, guest or attendee flow, and run of show so everyone knows what happens, when it happens, and who is responsible. When the event needs production or technical support, we plan that into the schedule as well.

Rehearsal and event day

When a rehearsal is needed, we coordinate it before the event. On the day, we oversee setup, vendor timing, the schedule, staffing, and the issues that need to be handled as they come up.

After the guests leave, we coordinate load-out, vendor closeout, and any remaining details needed to wrap up the event.

We work across private, cultural, corporate, nonprofit, and production-focused events. If most of the planning is already done and you need someone to take over the final details and event day, Event-Day Management may be the right fit. If planning is underway but there are still gaps to close, Planning and Coordination adds support with vendors, schedules, floor plans, and program details. Full-Service Planning and Production is for events that need support from the early decisions through execution and closeout.

Yes. We can step into an event that is already underway. We start by reviewing what has been decided, what is still open, the venue and vendor information already in place, and the timeline ahead. From there, the scope depends on what still needs to be planned, coordinated, or managed.

Yes. We can coordinate vendors that are already part of the event and bring their timing, responsibilities, and requirements into the overall schedule. Where there are still gaps, we can also recommend and coordinate additional vendors as part of the planning process.

We work from the run of show and coordinate the moving parts around it. Depending on the scope, that can include setup oversight, vendor timing, staffing, guest or attendee flow, program timing, rehearsal or cue coordination, on-site problem-solving, load-out, and closeout. The goal is for the host or organizer to stay present while the event keeps moving.

The amount of planning time needed depends on the event, the venue, the number of moving parts, and the level of support you need. North West Event Planning is based in Kirkland and works across the Eastside, Seattle, the wider Puget Sound region, and other Washington locations depending on the event. Most of the events we take on run between 25 and 250 attendees. Events outside that range are considered case by case.
